Disclosure of information is handled under the Student Records Policy as administered by the Office of the University Registrar and General Counsel.
Family Educational Rights and Privacy Act (FERPA)
Students may place restrictions on the release of their personal information to public inquiry by submitting a Request to Remove/Place Restrictions on the Release of Information to Public Inquiry Form.
Specific Release of Personal Information
Details regarding the student's account information, financial aid information, and academic record information may be released to specific people by assigning Delegate Access accounts in Enroll & Pay.
Methods of Sharing Information
Data Storage
Information Technology provides several methods of secure data storage and file sharing that are approved for use with student records. A summary can be found at http://technology.ku.edu/data-storage.
There is no limitation on sending identifiable information on a student in the following circumstance:
- The email communication is exclusively between KU email accounts hosted on the KU system.
- There is not a reason to suspect a security concern. If there is a concern, please contact the Office of the University Registrar, General Counsel, or the Information Technology Security Office.
- The content of the email is not subject to a specific restriction under law and/or policy (e.g. HIPAA, grades).
A good rule of thumb is that if you have any doubt that you should not share information. You cannot go wrong in not providing access to information and can refer the requester to the Office of the University Registrar or General Counsel at any time.
